If the hirer and/or the motorist fails to contact SERVICE RENT ASSISTANCE, deliberately or otherwise, the towage fee shall be paid by the hirer.

  • A European accident statement form (provided in every vehicle in 2 languages).
  • A copy of the official police report, as applicable.
  • The insurance documents (both your own documents and those of the other party or of any other party involved in the accident).

TIP! In case of an accident or damage to the car, always try and take a few pictures, wherever possible. These may be of great help in the subsequent processing of the insurance claim.

The roadside assistance team manager decides whether or not a replacement car is to be made available.

Maintenance

  1. Book an appointment with one of our authorised service centres: in doing so, you are restricting the length of time you are left immobilised to a minimum.
  2. On the day of the appointment, hand in your maintenance log at reception and specify what needs doing.
  3. Also request for the garage to contact Service Rent bv for an approval number before starting the work.
  4. Be clear in saying that the the invoice is to be made out to:

  5. Have the car manufacturer’s maintenance log stamped after every service.

The services and mechanical/electric repairs need to be performed at one of our authorised service centres

  • Carwash washes, the replacement of lost and/or stolen parts (wheel hub caps and such like), accessories, parking and surveillance fees not included as part of the contract.
  • Problems arising from non-compliance with the requirements set out in the manufacturer’s instruction manual (e.g. not having the services carried out at the appointed times).
  • Lack of care (absence of engine oil, absence of water in the radiator, etc) or inappropriate use (e.g. failing to stop the car immediately when an indicator light lights up).

Abroad, you should only have the most pressing work carried out. Here too, ask for the invoice to be raised to:

Carrying the mention ‘PAID’.

Against surrender of this original invoice, the invoice amount will be reimbursed to you based on the Belgian prices and at the official exchange rate.

TIP! When you travel abroad, it may be a good idea to bring forward the date of the service. It is always safer and better to have the car serviced prior to your departure. Also worth bearing in mind is that most garages tend to be quickly booked out in the run-up to the holidays.

If winter is on its way, it is advisable to check the level of the antifreeze product in the engine’s coolant fluid, so that your vehicle is protected down to temperatures of -20°C at all times. For your own comfort and safety, it is advisable to also check the antifreeze level in the windscreen washer liquid or to have it checked by an authorised Service Rent bv partner.

The service must be carried out in line with the requirements outlined in the manufacturer’s manual or as soon as you notice any abnormalities or malfunctions in your vehicle. Before the dealership garage starts the work, he must contact us first for an approval number. Check your vehicle’s oil and water levels every 1,500 km and top up if necessary.

  • All services detailed in the car manufacturer’s maintenance log.
  • All required mechanical and electric repairs.
  • All interim oil changes.

Tyres

Frequently (at least once a month) check the wear on your tyres. Immediately contact the tyre fitting centre as soon as the condition of your tyres no longer complies with the legal requirements (1.6 mm tread depth) or is resulting in your vehicle displaying unreliable road handling.

Before embarking on the work, the tyre fitting centre is to contact Service Rent bv for an approval number. Payment is transacted by Service Rent bv.

The ‘winter tyres’ option is included as standard in all contracts of our rental cars. This covers the removal/refitting of your vehicle’s tyres once a year. If you have any questions on this topic, please contact Service Rent bv or speak to your dedicated fleet manager.

TIP! The right tyre size and speed index are shown on the inside of the tyre.

Please note: In the event of abnormal use/wear of the tyres (+/- 40,000 km), the costs to have the tyres themselves replaced, as well as any costs arising therefrom, are to be paid in full by the hirer. This applies to summer as well as winter tyres.

Using the car

Only our privileged partners are allowed to carry out work to Service Rent bv’s cars. They are familiar with the appropriate procedures and send their invoices directly to Service Rent bv. Invoices from other suppliers will be declined and automatically passed on to the hirer, unless approved in writing by Service Rent bv on an exceptional basis.

Offence notifications are directly sent to the motorist’s private address by the Federal Police and must be paid immediately. Parking fines are immediately paid by Service Rent bv and passed on to the hirer, raised by a administration fee.

Only the persons who are expressly named in the rental agreement or persons who are designated by the lessee in writing later on and who have been expressly accepted by the lessor are allowed to drive the rental vehicle. These persons need to live at the same address as the motorist and be aware of all the procedures.

Car deliveries and car returns

In theory, we can have a car ready for you within 24 hours.

All of our cars are delivered to and collected from the location of your choosing at the time you give us. During office hours. Anywhere in Belgium.

Upon delivery, each car has two copies of the rental agreement, of which the front page expressly specifies all details relating to the car and the last page has the general rental conditions. Each car also has a checklist with a detailed description of the vehicle’s condition.

Every vehicle is delivered with:

Store these documents away for safekeeping. At the end of the contract, they need to be handed back in along with the car.

Inform your fleet manager in good time where and when your lease car will be available to be picked up. Check to make sure if everything is as it should be and sign off the checklist. This will save you potential problems afterwards. Remove all personal effects and accessories from the car which you purchased yourself. Carefully store away all documents regarding your vehicle. Never leave them behind in your car. If the car gets stolen, this facilitates fraud being committed with the vehicle.

To be able to pick up the vehicle, you need to bring the signed rental agreement to the collection point. In the car you will find two copies of the rental agreement, the vehicle documentation and the checklist.

No. Cars may be picked up only during office hours and at locations where they can be collected without an appointment. In all cases, this is confirmed by mail.

No. The only way for a car to be returned outside of office hours is when it is returned to a  garage or another location where people are present outside of office hours, and provided the car can be safely left in a guarded car park.

The hirer remains responsible for the car right up until the time it is effectively collected by Service Rent bv. The lessor is within its rights to repossess the car at any location at the hirer’s expense, or to automatically consider the rental agreement as having been renewed/extended against the same terms as those set out in the original agreement, up until the time when the vehicle is returned subject to express cancellation by e-mail or fax message.

The lessor will notify the hirer within 10 working days after the date on which the vehicle was returned, by e-mail or fax message, of the option it has decided on: renewal or termination.

Under the terms of the rental agreement, you are under obligation to use and handle your vehicle as a reasonable person with due care and attention. This requires you to look after the vehicle’s interior as well as exterior, so it is in good condition at all times, as well as in a technical sense. All of which is for your own safety. If you come across any abnormalities immediately after you have started using the vehicle, please contact our helpdesk, which will make sure you are up and running again in no time.

You remain wholly responsible for the way in which your vehicle is used from a highway code and criminal law perspective. In other words: any fines and/or penalties are for your own account.

Abroad

You are allowed to cross Belgium’s borders driving the rental car. However, please make sure that all vehicle documentation is in place inside the car at all times and you comply with the specific laws and regulations of the country you are visiting or crossing.

You are not allowed to take the car outside the territory of the countries listed in the green insurance card.
